Our commitment to you
Privacy Policy
Your data, your rights, our responsibility.
1. What information do we collect?
We collect personal information only when you choose to give it to us or when it's necessary to deliver your solar system and support service.
On your first contact—by phone, email, website form or in person—we ask for your name, address, postcode, contact phone and email, and your electricity usage or bill. This helps us understand your roof type, roof pitch, existing switchboard and whether you're on single or three-phase power. We also collect details about the age of your roof, any existing solar panels or batteries, and your goals (for example, bill reduction or off-grid capability).
During the site assessment, we take photographs of your roof, electrical setup and property surroundings to design an accurate system. If you apply for Small-scale Technology Certificates (STCs) under the Small-scale Renewable Energy Scheme (SRES), we collect your tax file number (TFN) so we can lodge your application with the Clean Energy Regulator (CER). For battery rebates through the Cheaper Home Batteries Program, we may collect proof of income or household composition to confirm your eligibility.
Once your system is installed, we set up a monitoring app or web portal so you can track your solar output, battery charge and grid usage. To do this, we store your system serial numbers, inverter credentials and app login details on secure servers run by our monitoring provider.
If you contact us for repairs, maintenance, invoicing or warranty claims, we record the date, nature of the fault, photos of damage, parts replaced, labour hours and payment method (card, bank transfer or invoice).
2. Why do we collect and use your information?
We collect your information to design, install, monitor and service your solar or battery system—and to give you the support and savings you expect.
We use your contact details and energy usage to provide accurate quotes and system designs matched to your roof, switchboard and grid connection. Your address and postcode help us identify your electricity distribution network (for example, Ausgrid in NSW, Powercor in Victoria) and your local state energy agency, so we can handle grid connection paperwork correctly.
We use your photos and measurements to size panels, inverters, battery capacity and racking correctly; undersizing means wasted roof potential, and oversizing creates equipment stress. Your TFN and household details are required by the CER and state agencies to process your STCs, Cheaper Home Batteries rebate and any other incentive you qualify for.
During installation, we share essential details with our accredited electricians, our equipment suppliers and the distribution network operator so they can allocate grid capacity and issue your connection permit. We keep records of installation dates, invoice numbers and warranty start dates so we can honour your warranty claims and notify you of recalls or service bulletins.
Monitoring data—your solar generation, battery charge cycles and grid usage—stays on your own account and is not shared with third parties unless you explicitly authorise it (for example, to your accountant for solar income calculation).
3. How do we keep your information safe?
We store and protect your personal information using industry-standard encryption, secure servers and restricted access controls.
Paper files (contract copies, photos, installation certificates) are kept in a locked office with restricted entry. Digital records—quotes, designs, emails, monitoring credentials—are stored on encrypted cloud servers with automatic backups. Only authorised staff (site assessors, installers, administrative team and management) can access customer files; new staff sign confidentiality agreements before gaining access.
Our monitoring app provider (usually Fronius, Solarman, SMA or another major inverter vendor) stores your generation and usage data on their secure cloud. We do not control that provider's privacy practices, so we recommend you read their privacy policy as well.
For customers applying for STCs or battery rebates, your TFN and proof of residency are held securely and are never used for any other purpose. We delete these documents 12 months after the rebate claim is finalised (as required by the CER).
We do not store credit card details on our systems. Payments are processed by PCI-DSS compliant payment gateways (such as Stripe, Square or your bank's direct-debit facility), and we receive only a confirmation receipt.
We review our security practices annually and comply with the Notifiable Data Breaches scheme under the Privacy Act 1988 (Cth). If a data breach occurs and your personal information is at serious risk of misuse, we will notify you and the Office of the Australian Information Commissioner (OAIC) without unreasonable delay.
4. Who do we share your information with?
We share only the minimum information needed to deliver your system and comply with law.
Your address, connection details and system specifications are shared with your electricity distribution network operator (Ausgrid, Endeavour Energy, Essential Energy in NSW; Powercor, United Energy, Circ in Victoria; and equivalent operators in your state) so they can issue a grid connection certificate and monitor network stability. This is a legal requirement.
Your TFN and household details are shared with the Clean Energy Regulator (CER) when we lodge your Small-scale Technology Certificate (STC) application. The CER uses this information to verify your eligibility and issue your rebate; they may also share it with the Australian Taxation Office (ATO) for record-matching.
If you apply for the Cheaper Home Batteries Program, your proof of income or family composition is shared with the state energy agency running the program (for example, the Department of Energy, Environment and Climate Action in Victoria) to verify your income threshold.
Your photographs and measurements are shared with our equipment suppliers (panel, inverter and battery manufacturers) only if you claim a warranty; they use these to verify your claim.
Our accredited electricians (who are SAA accredited) receive your contact details, address, system design and photos so they can plan the installation safely and legally.
If you give permission, we may share your system performance data (solar output, battery cycles) with your accountant, broker or financial adviser to help with solar income reporting or tax deductions.
We do not sell, rent or trade your personal information to marketers, brokers, lead aggregators or comparison sites.
5. How long do we keep your information?
We keep customer information as long as it is necessary to deliver your service and comply with tax and warranty law.
Installation records (invoice, tax invoice, warranty certificate, electrical certification) are kept for 7 years to meet Australian Tax Office (ATO) requirements and to support warranty claims.
Photographs and design drawings are kept for the life of your warranty (typically 10 years for panels, 5–10 years for inverters, 10–15 years for batteries) so we can prove what was installed and diagnose faults quickly.
Your TFN and proof of income (for STCs and battery rebates) are deleted 12 months after the rebate is finalised, as required by the CER and state energy agencies.
Monitoring login credentials are stored indefinitely while your monitoring account is active; if you ask us to close it, the credentials are deleted immediately.
Contact records (phone numbers, email addresses) are kept for 3 years after your last service contact. If you ask to be removed from our mailing list, we delete your details immediately and add your address to our 'do not contact' register.
If you request deletion of your personal information before the statutory retention period has ended, we will explain the legal or warranty reason why we must keep it, and offer to restrict its use instead.
6. What are your privacy rights?
The Australian Privacy Principles (APPs) give you the right to access, correct and complain about how we handle your information.
You can request a copy of all personal information we hold about you by emailing [email protected] or calling 0485868633. We will provide it within 30 days at no cost (or notify you if it will take longer).
If your contact details, address, energy usage or system specifications change, tell us so we can update your records. If you believe any information is incorrect or incomplete, we will correct it within 30 days.
You have the right to opt out of marketing emails and newsletters; every email includes an 'unsubscribe' link, or contact [email protected] to be removed.
You can ask us not to share your information with certain third parties (except where the law requires it). For example, you can ask us not to share your monitoring data with your accountant.
If you believe we have breached your privacy, you can lodge a complaint with us first: email [email protected] with 'Privacy Complaint' in the subject line. We will investigate and respond within 30 days. If you are not satisfied, you can lodge a complaint with the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
7. How do we handle cookies and tracking on our website?
Our website uses cookies and analytics tools to help us understand how you use it and to improve your experience.
Essential cookies (such as session and login tokens) are necessary to keep you logged into your monitoring account or quote builder. These cannot be disabled without breaking the service.
Analytics cookies (from Google Analytics or similar) track which pages you visit, how long you stay and what you click. This helps us see whether our solar installation guide or battery cost calculator is useful, and whether our solar repairs page needs clearer information. These cookies do not identify you personally; they show us only trends.
If you do not want analytics tracking, most browsers allow you to disable third-party cookies or use 'Do Not Track' mode. You can also opt out of Google Analytics by installing the Google Analytics Opt-out Browser Add-on.
We do not use advertising pixels or retargeting cookies to follow you around the internet. We do not sell your browsing data to ad networks.
If you have questions about our cookies, email [email protected].
8. How do we handle your system performance data?
Your solar generation, battery charge and grid usage data is your property; we collect it only to help you understand your savings and troubleshoot faults.
Once your system is installed, you can view real-time data through the monitoring app or portal (usually provided by Fronius, Solarman, SMA or your inverter manufacturer). This data stays on your account and is not visible to us unless you share your login or give us permission to access it for support.
If you ask us to diagnose a fault (for example, 'my system is generating 20% less than expected'), we may ask permission to view your monitoring account temporarily. We then check your generation curve, weather data, inverter logs and other system parameters. Once we have diagnosed the issue, we delete our temporary access.
If you want your accountant or financial adviser to see your performance data for tax or loan purposes, you can share your monitoring account login directly with them, or you can give us a one-time permission to export a performance report. We will not give third parties access without your written consent.
Performance data is never sold, licensed or shared with solar comparison sites, lead generators or energy retailers.
9. How do we use your information to contact you?
We use your contact details to keep you informed about your system, your warranty and updates that matter to you.
After your system is installed, we send you a welcome email with your system manual, monitoring app credentials and warranty certificate. We may also send you information about maintenance, seasonal tips (for example, 'book a panel clean before summer') or new services (for example, 'we now install EV chargers').
If a fault is detected by your monitoring system, we may call or text you to let you know and suggest next steps. For example, if your inverter goes offline, we alert you so you can restart it, or we schedule a repair visit.
Before your warranty is about to expire, we may contact you about warranty extension or coverage options.
We will never contact you to ask for your TFN, password, banking details or 'verify' your identity by email or text. If you receive such a message, do not reply—it is likely a scam—and contact us directly on 0485868633.
You can opt out of all marketing and update emails at any time by clicking 'unsubscribe' in any email or emailing [email protected]. Essential service emails (fault alerts, warranty updates, installation confirmation) will still be sent because they are needed to support your system.
10. Do we comply with privacy law?
Solar Advice complies with the Privacy Act 1988 (Cth), the Australian Privacy Principles (APPs) and the Notifiable Data Breaches scheme.
We are not required to be regulated by the Office of the Australian Information Commissioner (OAIC), but we follow the OAIC's privacy principles as best practice.
When we process customer data for solar rebates, we comply with the CER's privacy requirements for Small-scale Technology Certificate (STC) data, and we comply with state energy agencies' requirements for Cheaper Home Batteries Program applications.
Our accredited electricians are SAA accredited and must follow SAA's code of conduct, which includes confidentiality obligations.
If you need to confirm our privacy practices or lodge a formal complaint, you can contact the OAIC at oaic.gov.au or call 1300 363 992.
11. How do we handle your information if you do not buy from us?
If you request a quote or site assessment but decide not to proceed, we keep your information securely and use it only for follow-up.
We may contact you once to ask whether you would like to reschedule your assessment, or to let you know about a promotion or service update. After that, your details go into our 'inactive lead' database.
If you do not respond to any contact within 2 years, or if you ask to be removed, we delete your file completely (unless we have a legal reason to keep it).
We do not sell your contact details to other solar companies, finance brokers or lead aggregators. If you want to be removed from our database, email [email protected] with 'Remove my details' in the subject line.
12. What happens if Solar Advice changes ownership or closes?
If Solar Advice is acquired by another company or merges, your personal information may be transferred as part of that transaction. We will notify you by email or letter at the address on file.
If Solar Advice closes and does not merge with another company, we will give you the opportunity to request a copy of your records before we securely destroy them.
In either case, your rights under the Privacy Act 1988 (Cth) remain the same—you can access, correct and complain about your data regardless of ownership change.
13. How do we handle children's information?
Our website and services are not directed at children under 13. We do not knowingly collect personal information from children.
If a parent or guardian contacts us on behalf of a child (for example, to discuss a school solar project), we treat that contact as an adult request and collect only the parent's or guardian's details.
If we discover we have collected information from a child under 13 without parental consent, we will delete it immediately.
14. How often do we update this privacy policy?
We review this privacy policy annually and update it if our practices change or if privacy law changes.
We will notify you of material changes by email to the address on file, or by publishing a notice on our website. The 'last updated' date appears at the bottom of this policy.
If you have questions or concerns about this policy, email [email protected] or call 0485868633. We are happy to explain how we handle your information.
